Privacy Policy

The North Suburban Night Tennis Association (“NSNTA”, “we”) runs this website and the NSNTA mobile app to publish competition information — fixtures, ladders, and results — and to let clubs submit results and manage their teams. This policy explains what information we handle and why. We keep the data we collect to the minimum needed to run the competition.
Information we handle
- Competition data — teams, fixtures, scores, and ladders. This is public competition information, not personal to app users.
- Result submissions — when a result is submitted, the submitter's name, phone number, and club are stored with the result so coordinators can follow up.
- Push notification tokens — if you enable notifications in the app, your device's push token is stored so we can send match, result, finals, and news alerts. The token identifies a device, not a person, and you can turn notifications off at any time (in the app's Settings, or in your device settings).
- On-device preferences — your preferred team and notification choices are stored locally on your device and are not sent to our servers.
- Club portal sign-in — club delegates sign in with a one-time link sent to a club contact email address; we store that email and a short-lived session.
- Server logs — like any website, our servers record basic technical information (such as IP address and request time) to keep the service secure and to limit abuse. This is retained only as long as needed for those purposes.
The AI assistant
The app includes an optional assistant that answers questions about fixtures, ladders, and venues. When you ask a question, your question is sent to our AI provider (Anthropic) to generate a reply, together with public competition data. Please don't type personal or sensitive information into the assistant. We don't use it to collect personal data, and it can only read public competition information.
Who we share data with
We don't sell your data or use it for advertising. We use a small number of service providers only to operate the app:
- Google Firebase Cloud Messaging — delivers push notifications to your device.
- Anthropic — powers the assistant's replies (see above).
- Amazon Web Services — hosting and sending club emails.
Your choices
- Turn notifications on or off in the app's Settings, or in your device's notification settings.
- Clear your on-device preferences by clearing the app's storage.
- Ask us to correct or remove personal details held with a result submission or club contact record.
Children
The app is intended for players, families, and club officials taking part in the competition. It is not directed at children under 13, and we don't knowingly collect personal information from them.
Contact
For any privacy question or request, contact the NSNTA committee at secretary@nsnta.org.
Changes
We may update this policy as the app changes. We'll update the date at the top when we do.
This policy describes how the NSNTA app currently handles data. If your club has specific record-keeping or privacy obligations, please review it against those before relying on it.
